PARTNERSHIP PROJECT TO ENHANCE AND TRAIN A TEAM OF VOLUNTEER STUDENTS ENGAGED IN THE MANAGEMENT OF THE EVENT

AREAS OF ACTION IN THE FIELD

1. TEAM ASSISTANT (mobile location):

• Warm welcome and customer care;
• accompanying during the stay (hotel – competition and training area – territory);
• information about town and region;
• linguistic and cultural mediation, problem solving;
• information on sport/race and side events programme;
• communication terminal of the organizing committee;

2. GENERAL DESK – ACCREDITATION AREA – HELP DESK (fixed location at the event venue):

• Secretary and team validation;
• Warm welcome and assistance to authorities and special guest delegations;
• Overseeing sponsors’ exhibition area;
• General affairs and support for other working stations;

3. PROFESSIONAL POINT (fixed location at the event venue)

• Assistance to athletes, delegations, staff of competition officials;
• Information about competitions, training and warm up;
• Reference point for catering and public utility services;
• official communications broadcasting;
• Update on timing, results and awards ceremonies;

4. INFO POINT (fixed location at the event venue)

• Event information for the public;
• tourist and cultural promotion of the destination;
• Support for the organization/management of side events proposals in the area;
• Assistance to the Data Management and results broadcasting;
• customer satisfaction survey;
• Partecipation in moments of entertainment and celebration;

5. MEDIA & COMMUNICATION (fixed location at the event venue in collaboration with the Press Office):

• Monitoring the media center;
• Accompanying journalists/TV crews;
• Organization of setting for interviews, videos and press conference;
• Looking for athletes and authorities for the press;
• Seeking information for public broadcasting;
• Support for social media management;
• video tests.

L’attività “media” è affidata all’ufficio stampa Newspower di Trento

The communication and media relations will be managed by Newspower Press Office from Trento. The agency boasts an important curriculum with 30 years of activity, including the communication for 35 World Championships and more than 150 World Cup events of various disciplines as skiing (Nordic, alpine, freestyle, ski-mountaineering), motorcycling, athletics, curling, climbing, orienteering, cycling and others. Six people are working at Newspower press office permanently, in addition to several external collaborators specialized in specific disciplines.
This year, during the Castle Mountain Running event, Newspower started the collaboration with the organizing committee of the European Championships 2016.
THE COMMUNICATION PLAN in broad terms is the following:
The communication activity will start from december 31, 2016 and will be divided in 2 sections, national and international. The national communication will consist of press releases directed to an up-to-date mailing list of 340 media-people. For the international communication Newspower is arranging a mailing list and counts to complete it with the collaboration of FIDAL, European Athletic Association and IAAF.

Press releases

Will be sent out at least once a month until March 2016, at least twice a month in April and May, at least once a week in June.
From 1st December a NEW WEBSITE exclusively dedicated to the event will be online, and it will be promptly updated with news, photo-gallery and the progression of the organizing works.
At the same time, particular attention will be paid to the SOCIAL NETWORKS, to encourage fans and inhabitants to be present during the event. The social networks will be updated every day with news and details.
By the end of December 2015 Newspower will choose the NATIONAL MEDIA PARTNER. Contacts are underway with the newspaper Tuttosport and the agreement is nearly concluded. Other negotiations are also underway with an ATHLETICS MAGAZINE. By the same date, the LOCAL MEDIA PARTNER will be designated as well (to be chosen between the two main local newspapers). Also the OFFICIAL RADIO will be defined.

PRESS CENTER

Newspower will manage the preparation of the PRESS CENTER at the Casinò of Arco. The accreditation system will open on 1st December on the official website, in the meantime a press area with 50 work stations has been planned.
Each work station will be equipped with two electric sockets and a free wi-fi connection with fast upload speed.
The press center will be open from 30 June to 2 July and will be equipped also with 1 or 2 free Internet Points.

ACCREDITATION

Media accreditation will be granted to professional journalists and photographers in possession of a AIPS card, or a professional press card issued by the National Order of Journalists, or a press/photo card issued by FIDAL, IAAF, EAA.

PHOTOS

There are 4 professional photographers inside the Newspower team. During the event, pictures of the best athletes will be available in real time for the download at high resolution on the official website, linked to www.newspower.it.
